A document management system

A basic windows file sharing system is an essential IT service for any educational institution.  Many schools still use windows file sharing for storing personal data of the user in a central server and share files among different group of users.

However technology has moved a long way from the day of simple Windows file sharing. A document management system (DMS) is a computer system (or set of computer programs) used to track and store electronic documents. It is usually also capable of keeping track of the different versions modified by different users (history tracking). The term has some overlap with the concept of a content management systems. It is often viewed as a component of an enterprise content management (ECM) system and is related to digital asset management, document imaging, workflow systems and records management systems.

For educational instruction we propose a complete such document management system using Alfresco which can be used to develop documents though collaboration. Alfresco is open source and can be used free of licensing cost, For example Alfresco can be used to develop curriculum documents, developing policies, accreditation reports which all require high degree of collaboration from a group of writers/readers.  Creating content independently and with the collaboration of other students, is a very important everyday activity for students and is an activity required in the workplace of the 21st century.  A document management system such as Alfresco is the perfect tool to have available for such a scenario.

Alfresco will allow students and staff to store their private documents, share and collaborate on documents with their peers over a simple interface. Documents can be accessed as a network file or cloud file from the local network or over the internet. Ipad and android apps are also available which provide access to all the user’s documents on the fly over a smart interface. Alfresco can be integrated with Moodle for its document repository.

How can we help

As software service we can help us with the installation and roll out of Alfresco both open source and the commercial edition along with the client side configuration as per your requirement. Installation will be done with integration of Alfresco for authentication and address book mapping. Other application integration can also be done as per the client’s requirement. We also provide managed service on Alfresco with service level agreements (SLA’s), which include proactive monitoring, technical support, update and upgrade, backup and recovery.
